What lead generation means in B2B, how a lead moves from a list to a booked meeting, and a computed funnel and lead score you can copy.

Lead generation is the work of turning people who might need what you sell into people who have raised a hand: they replied, filled in a form, accepted a message or agreed to a call. A lead is a named person at a named company with a reason to talk, not a row in a spreadsheet.

This guide defines the pieces, then walks one fictional company through a funnel with every figure computed from example inputs. The inputs are invented for illustration. They are not benchmarks.

## The pieces of a lead generation process

Whatever the channel, the process has the same five steps.

1. Define who you sell to: the ideal customer profile and the roles that buy.
2. Build and verify a list of those accounts and people, so messages reach real inboxes and phones.
3. Reach them through one or more channels with a message that names a reason to talk.
4. Handle responses: answer questions, record opt-outs, and move interested people toward a call.
5. Score and qualify, then hand the qualified leads to the people who run the sales conversation.

## A funnel, computed

Take a fictional company, Brightwater Payroll Tools, importing a list of 5,000 contacts for one email campaign. The counts below are example inputs. The three rates are computed from them.

Example funnel for one campaign (counts invented for illustration)

| Step | Count | Rate | How it is computed |
| --- | --- | --- | --- |
| Contacts imported | 5,000 | | Input |
| Bounced | 200 | 4% | Bounced divided by imported |
| Delivered | 4,800 | | Imported minus bounced |
| Replies | 96 | 2% | Replies divided by delivered |
| Meetings booked | 29 | 30.2% | Meetings booked divided by replies |
| Meetings per imported contact | | 0.6% | Meetings booked divided by imported |

## Qualifying a lead: fit plus behavior

A lead score adds two kinds of points. Fit points describe the account and person. Behavior points describe what they did. In the example, a head of finance at a company in the target size band earns 45 fit points (20 for the role, 15 for company size, 10 for industry) and 35 behavior points (25 for replying with a question, 10 for opening the pricing page), for a score of 80. The point values are choices made for the example, so set your own and review them against the deals you close.

A quick human check can sit beside the score. Using the four BANT questions, this lead answered 3 of 4 well: budget, authority and need, with timeline still open. Our glossary pages on lead scoring and BANT cover both methods.

## Sizing the list before you start

Before building a list, check that the market is big enough. In the United States, the Census Bureau's County Business Patterns series gives annual counts of establishments with paid employees by industry, employment size and geography down to county and ZIP code level. It leaves out some industries and most government employers, so read its coverage notes before relying on a count.

For the example, suppose a lookup for Brightwater's industry and region returns 2,400 establishments. That count is an invented input. With an average yearly value of $9,000 per customer, 40% of those fitting the product and a 5% win share, the market size function gives 48 accounts as the obtainable share, worth $432,000 a year. The market size calculator runs the same sum on your numbers.

## Where the rules apply

Commercial email in the United States falls under the CAN-SPAM Act. The FTC's guide says the law makes no exception for business-to-business email and requires opt-outs to be honored within 10 business days. Build opt-out handling into the process from the first send, not after the first complaint.

ColdMeetings is software plus an API that covers list import and verification, sequences, replies, meeting booking and a compliance layer for opt-outs and suppression. It does not generate leads for you and promises no number of meetings.

## Questions

### How does a lead differ from a prospect?

A prospect is someone who fits your target profile. A lead is a prospect who has shown interest, for example by replying. Teams draw the line differently, so write down where yours sits.

### How many leads do I need?

Start from the revenue target, run it through the pipeline coverage calculator, and then divide by your own booking and win rates.
