Cost per meeting is all outbound spend divided by the meetings that took place. See the formula, a worked example and what belongs in it.

**What is cost per meeting?**

Cost per meeting is everything you spend on outbound in a period divided by the number of meetings that actually took place in it. It tells you what one conversation with a prospect costs.

Group: 5. Pipeline measures.

## Cost per meeting

- cost per meeting = all outbound spend / meetings that took place

## The parts

1. **All outbound spend**: People, tools, data, domains and mailboxes. Leaving out salaries or tools makes the number look better than it is.
2. **Meetings that took place**: Count meetings that were held, not meetings that were booked. A no-show costs money and produces nothing.
3. **Same period**: Spend and meetings must cover the same stretch of time, or the ratio compares two different things.
4. **Use it to compare**: The number is most useful next to an earlier period, another channel or the value of a meeting to your business.

## One month at Harrow Lane Software

Harrow Lane Software is an invented company that counted a month of outbound.

1. People: $6,000. Tools and data: $1,800. Total: $7,800.
2. Meetings that took place: 12.
3. $7,800 / 12 = $650 per meeting.

The month in one table.

| Line | Amount |
| --- | --- |
| People | $6,000 |
| Tools and data | $1,800 |
| Total outbound spend | $7,800 |
| Meetings that took place | 12 |
| Cost per meeting | $650 |

## How to apply it

1. List every outbound cost for the period, including the share of anyone's time spent on it.
2. Count only meetings that were held, from your calendar and your records.
3. Divide, and write down the result with the period it covers.
4. Compare against the next period, or against the value of a meeting, before changing anything.

## Common mistakes

- Counting booked meetings instead of held ones.
- Leaving out people costs because they are salaried.
- Comparing a month of spend with a quarter of meetings.

## Questions

### Should I include meetings that were rescheduled?

Count a rescheduled meeting once, on the day it took place. If it never happened, it is not in the count.

### Is cost per meeting the same as cost per lead?

No. A lead is a name with some interest. A meeting is a held conversation, which is a later and more expensive step.

### Is there a calculator for this?

Yes. The cost per meeting calculator on this site uses the same arithmetic as the example above.
