Who we are
ColdMeetings ("we", "us") runs this website and the ColdMeetings service. For anything about your data, write to hello@coldmeetings.com.
Account data
We hold the details you give us to run your account: your email address, your plan, your credit balance and your usage. We use them to provide the service, bill you and keep the service safe.
Prospect data you import
When you import prospects, you give us personal data about other people. For that data you are the controller: you decide why and how it is used. We process it on your behalf, only to run your campaigns.
- The prospect details you supply: the email address and, if you give them, the first name, company and country.
- Campaign activity (sent, bounced, complained, replied) and the text of replies.
The suppression list
We keep a suppression list of addresses that asked to stop, bounced for good or reported spam, so that they are not contacted again.
No selling of data
We do not sell personal data.
Service providers and AI
We use service providers to run ColdMeetings: hosting and infrastructure providers, email delivery providers, email verification providers, payment processors and AI service providers.
Recipients in the EU, UK and Israel
ColdMeetings does not support prospects in the EU, the UK or Israel.
Your rights and how to use them
Whoever you are and wherever you live, you can ask us for access to the personal data we hold about you, for it to be corrected or deleted, and for a portable copy of it.
- California: you have the right to know what personal information we hold about you, to have it deleted or corrected, and to opt out of its sale or sharing. We do not sell or share personal information. You will not be treated differently for using these rights, and an authorized agent may make a request for you.
- EU and UK: you have the right of access, rectification, erasure, restriction, portability and objection. You can also complain to your local supervisory authority, which in the UK is the Information Commissioner's Office (ICO).
To make a request, write to hello@coldmeetings.com from the email address on the account. We may need to confirm your identity first, and we answer within the time the law requires.
Some records have to stay even after a deletion request: billing and tax records, security logs and the suppression list, so that an address that asked to stop is not contacted again.
If your data is a prospect record that one of our customers imported, that customer decides how it is used and we act on their behalf. You can still write to us about it. If a message reached you because someone used ColdMeetings, you can also reply to ask them to stop.
