What is meeting booked rate?

Meeting booked rate is the share of replies that end with a meeting on the calendar. It shows how well your follow-up turns interest into a conversation.

The formula

Meeting booked rate

meeting booked rate = meetings booked / replies x 100

The parts

  1. Meetings bookedMeetings with a date and time that the prospect accepted. A promise to talk sometime does not count.
  2. RepliesThe same replies counted for reply rate, so the two measures chain together.
  3. What it reflectsHow fast you answer, how easy it is to pick a time, and whether the reply was interest or a question that needed an answer first.
  4. Booked is not heldThis rate stops at the calendar entry. Cost per meeting counts meetings that took place, so track no-shows separately.

One week at Quillon Billing

Quillon Billing is an invented company that sorted a week of replies and checked its calendar.

By hand

  1. Replies received: 60. Meetings booked from them: 15.
  2. 15 / 60 x 100 = 25%.
  3. The other 45 replies were questions, referrals and polite declines. Quillon answers the questions the same day and asks the referrals for an introduction.

How to apply it

  1. Sort every reply into interested, question, referral or decline within a day.
  2. Answer interested replies with two or three concrete times, or a link to your calendar.
  3. Count a meeting only once it has a date and the prospect has accepted.
  4. Review the replies that did not book and fix the most common reason first.

Mistakes to avoid

  • Dividing by sent emails, which mixes list quality and follow-up quality into one number.
  • Counting a verbal maybe as booked.
  • Letting interested replies wait a day or two for an answer.

Cost per meeting

Cost per meeting is everything you spend on outbound in a period divided by the number of meetings that actually took place in it.

Questions

Why divide by replies and not by emails sent?
Replies are the pool your follow-up can act on. Dividing by replies isolates the follow-up, while reply rate isolates the outreach.
Should booked meetings that never happen count?
They count here, because the rate measures booking. Cost per meeting counts only meetings that took place, so track both.
Does a low rate mean the replies were weak?
Not necessarily. Many replies are questions or referrals. Sort them first, then see which kinds you convert.
